AO Admin & Advisors

Game Plan has two tiers of administrator access: Athletic Organization (AO) Admin and Advisor.

Administrator Guide

The AO Admin role is assigned to the highest-level administrator associated with your organization's Game Plan platform. This role has the ability to manage all users in the platform, view all content in the Game Plan Library and courses created in My Content, administer assignments, track and monitor all activities, and generate reports.

The Advisor role is assigned to a secondary-level administrator. This role has access to view all users in the platform, manage the roster of designated sports, view all content in the Game Plan Library, create courses in My Content, assign activities to users, track and monitor assigned activities, and generate reports for designated sports.

Assignments

We offer the most extensive library of interactive, on-demand eLearning courses available, and partner with best-in-class subject matter experts to provide compelling content on a wide array of topics including Mental Health, DEI and Social Justice, Sexual Violence Prevention, Career Development, Life After Sport, Financial Literacy, Sports Wagering, and more.

Assignment Types

Standard Assignments allow for a course, survey, or collection of activities to be assigned to users through manual selection.

Journey Assignments allow for a course, survey, or collection of activities to be automated for a designated criteria of users.

Creating Assignments

Before creating an assignment, determine the courses you would like to include by viewing the course list linked on the Education page or browsing the eLearning Library in Game Plan by navigating to Assignments >> Explore.

Analytics & Reporting

All AO Admin and Advisors have access to the Standard Analytics feature within the Game Plan platform. This feature allows for the ability to track course completions by assignment. The Advanced Reporting feature is an upgraded dashboard offering additional data and functionality and is included as part of Game Plan Analytics (survey). See below for detailed descriptions of each feature and how to navigate them.

The Standard Analytics feature allows you to compile reports from several assignments. Enter a date range and apply filters to generate a progress report on select activities.

Managing Users

As an AO Admin, you have the ability to manage all users. For a description of each role and their capabilities within the platform, review the User Roles (PDF).

Organization Roster Management

Game Plan's Groups feature allows administrators to create a collective of designated users that will appear in the filter when adding users to an assignment. Common use cases for groups include coaches for compliance education, staff cohorts by department, SAAC, and leadership academies.

Connect with your CSM for annual roster uploads of athletes and staff or to add more than 10 users.

Alumni Users

You will see users listed on the "Alumni" page within the "Organization" tab. This list consists of users rolled off rosters from year to year. Alumni users profiles can be edited or removed by administrators and included in assignments. If an active athlete is labeled as an alumni, please contact your CSM.

The Alumni user role has access to the following Game Plan features: assigned eLearning courses, the Employer Network, and the Expert Network.

Custom Career & Mentorship

The AO Admin and Advisor roles can construct an exclusive marketplace and create a network of opportunities specific to your organization. Connect your athletes with the alumni, sponsors, faculty and corporate partners within your unique ecosystem for mentoring, networking, internships, and employment. These administrator roles have full control over several aspects of the Custom Marketplace as well as the Career and Mentorship features on the Game Plan platform.

Managing the Branded Experience

Activate the Branded Landing Page & Platform by completing the asset collection forms below. Once completed, your CSM will provide a timeline for these to be built and activated.

Managing Employers

Recruiter: This role allows the user to update/edit their Employer profile, create and edit job postings, view applicants for each specific job posting, search athlete profiles to identify potential candidates and message athletes within the platform.

Onboarding Employers:
- Landing Page Sign Up: Contact your CSM to receive onboarding instructions for the branded landing page.
- Manual Add: Add Employers to the platform by clicking on "Career Opportunities" within the "Career" tab and using the "Add Employer +" button. Once you populate all required information and hit "Save new user" and a tile will be created under your organization's jobs section. You can then post job opportunities for that specific employer by clicking on the "Add Jobs +" button. NOTE: You must add an Employer first before adding any job opportunities.

Managing Mentorship

Mentorship Access grants permission for mentors and mentees to view available mentees/mentors, send direct messages within Game Plan, and request a formal mentor/mentee relationship. You can manage your mentor network by clicking on "Mentorship" under the "Career" tab. This page allows you to add, delete, and edit mentors as well as give or remove mentorship access.


Best Practices
For Mentors:
- Create a Journey Assignment to be automatically assigned to mentors when they login to Game Plan.
- Assign a course or an assessment from the library to be completed by both the Mentor and Mentee to kickoff the mentorship and faciliate conversation.
- Create and assign a My Content course to share mentorship program expectations and rules of engagement, gather information from mentors/mentees such as contact information, areas of expertise or interest, and goals of participating in the program.

For Mentees:
- Include a "Request for Mentorship" link on the Branded Landing Page to facilitate the identification of interested student-athletes.
- Create and assign a My Content course to gather information on their interest in participating in a mentorship program and additional information to facilitate a mentor match.
- Manually match a mentee to a mentor to facilitate introductions and conversations as you build the mentorship program.

Managing Additional Roles

Alumni Engagement: If alumni would like to be a mentor or an employer, we recommend signing up using their employer email for the Employer Role to post job opportunities and/or recruit athletes and using their personal email for the Mentor role.

Engaging Student-Athletes

Game Plan has several features to engage student-athletes beyond their assigned eLearning courses and surveys. Inform your student-athletes of all that Game Plan has to offer with the Student-Athlete Guide (PDF).

"Tell Us" Timely Reporting

Student-athletes can confidentially or anonymously share feedback, suggestions, and other information with their athletic organization via the Game Plan app. "Tell Us" allows athletes to communicate concerning behaviors, mental health and well-being insights, as well as general suggestions for improving the athletic experience such as thank you notes for coaches and staff going above and beyond.

Activate "Tell Us" on Your Campus

1. Create "Tell Us" email account with your IT department using the format of tellus@[institution-domain].edu
2. Complete the Activation Form (Link) with the following information:
        - Institution
        - Tell Us email address
        - Designated primary contact
        - Primary contact phone number
        - Primary contact email
        - Campus Public Safety/Police emergency phone number
3. Conduct test email verification with Game Plan
4. Introduce 'Tell Us' to your student-athletes

Receiving Tell Us Reports

When a report is submitted, you will receive an email to your Tell Us email account that will include all information provided by the student-athlete. If a student has chosen to remain anonymous, they are informed that they will not receive any follow up from administration while submitting the report.
